Creating a client onboarding and management platform for Oasys Sports

How We Built It

Challenge

Oasys Sports sells contract services to youth sports leagues across the country, and their sales process required more steps than it should have. Salespeople put together custom offers, worked out payment schedules, and sent documents to clients through email and separate tools with no central place to track where any given deal stood. Clients who had questions didn’t have a clear place to review what they’d been offered or find the status of their onboarding. Getting a league from initial contact through signed agreement and payment setup required manual follow-up at every stage, which slowed down closures and left gaps in the record. Working with Chain Reaction Studios, we were brought in to consolidate the entire flow into one platform.

Solution

We built the client onboarding platform on Laravel to handle the full sales and onboarding flow from offer creation through payment setup. Salespeople create a custom offer inside the platform, configure the payment schedule, and send a link to the client. The client lands in a branded portal where they review the offer, complete their onboarding information, and set up payment processing all in one place. No printing, no emailing documents back and forth, and no manual follow-up required to move the deal forward. The system supports custom payment term structures so deals with different schedules all run through the same platform without special handling.

Results

Oasys’s sales process is faster and league onboarding takes a fraction of the time it used to. Salespeople create and close deals in the platform instead of tracking them through email chains. Leagues get a clear, organized offer with a direct path to signing on, which reduces the hesitation that comes with complicated paperwork spread across multiple touchpoints. The back-and-forth that defined every new client relationship is largely gone. The team now has full visibility into every deal’s status from one admin view, something the previous process couldn’t provide.
