We Rebuilt a Multi-Location Practice's Patient Intake From Scratch
A four-location orthopedic practice in the Charlotte area was running patient intake on disconnected PDF forms, manual insurance pre-authorization follow-ups, and a scheduling system that required front desk staff to duplicate entries across two platforms. New patient paperwork took 20 minutes to process by hand for each appointment.
We built a Laravel patient portal that handles digital intake at the point of scheduling, routes insurance pre-auth requests to the correct payer automatically, and syncs confirmed appointments to their existing EHR. Front desk time on new patient setup dropped from 20 minutes to under 3.

We sign a Business Associate Agreement before any PHI enters our environment. Every application we build for healthcare uses encrypted storage and TLS in transit, enforces the minimum necessary access principle, and maintains audit logs of every data access. Not as an add-on. As a baseline.
We work with practices to understand their existing compliance posture, document the technical safeguards we implement, and give your compliance officer what she needs to sign off. We do not just build the software. We help you understand what we built and why it meets the requirements.

Does our application need to be fully HIPAA compliant?
If your application stores, transmits, or processes protected health information (PHI), HIPAA applies. Most patient-facing tools do. We build with HIPAA requirements in mind from the start: encryption at rest and in transit, role-based access controls, audit logging, and BAA coverage. Not retrofitted onto a system that was not designed for it.
Can you integrate with our existing EHR or practice management system?
It depends on what your system supports. Most modern EHRs expose HL7 FHIR APIs for data exchange. Older systems may require custom integration work or middleware. We assess your existing stack before scoping anything. If integration is feasible, we build it. If a system is too locked down to work with, we tell you that upfront.
How long does a custom patient portal take to build?
A focused patient portal (intake forms, scheduling, messaging, and basic records access) typically runs 12 to 16 weeks. Add billing workflows, EHR sync, or telehealth features and you are looking at 16 to 24 weeks. We scope clearly before any work starts so you know what you are committing to.
Do you sign Business Associate Agreements?
Yes. A BAA is required before we can access or process any PHI. We handle this at the start of every healthcare engagement, before development begins. We are not the right fit for practices that want to move fast and figure out compliance later.
